# Accruent EMS Parity (Outcome Lens)

> How Meridian can match the operational outcomes of Accruent EMS without copying its product shape

## Goal

Meridian should deliver the outcomes universities most commonly expect from EMS: coordinated scheduling, governed events, resource accountability, and operational visibility across student affairs and campus partners. This is **not** a feature-for-feature chase and **not** a pursuit of EMS's full commercial office/IWMS footprint. EMS is a broad, sales-led scheduling suite; Meridian is a **domain- and stakeholder-aware campus platform**. Parity means **coverage of institutional intent**, expressed through Meridian’s composable services, policy model, and UX principles.

## How to Read Vendor Capability (grain of salt)

Accruent’s public positioning emphasizes breadth: **desk and room booking, classroom and exam scheduling, conference/event logistics, digital signage and kiosks, 100+ reports and a query builder, integrations (calendars, VC, HVAC/AV, signage), mobile (e.g. Direct Spaces), and invoicing/payment flows tied to bookings.** That breadth is a real strength for institutions that want **one scheduling spine** and are willing to absorb **implementation cost, module licensing, and enterprise UI complexity**.

Treat marketing claims as **directional**: demos highlight happy paths; depth varies by module, contract, and campus integration maturity. For higher-ed use, one common weakness is that EMS can feel **too broad and not specific enough** to complex campus event lifecycles. In practice, institutions often add local process overlays to compensate. Meridian should **learn from the institutional problems EMS solves**, not from its information architecture or screen inventory.

## Meridian Product Principles (vs. EMS-style suites)

1. **Outcomes over modules**\
   Deliver “conflict-safe booking” or “auditable event lifecycle,” not “EMS Room Module parity.”

2. **Policy and tenant config first**\
   Who may book what, which approvals apply, and which resources exist must be **data-driven**, not hardcoded like a single-campus EMS deployment.

3. **Composable platform**\
   Events, orgs, forms, tasks, notifications, analytics, and (where needed) external calendars or room systems should **integrate** rather than collapse into one monolithic scheduler.

4. **Progressive depth**\
   Small tenants: simple locations and RSVPs. Large tenants: resource libraries, utilization views, and bridge integrations—**opt in**.

5. **Human-centered UX**\
   Prefer clear flows for hosts, attendees, and admins over dense admin trees and legacy report catalogs.

## Where EMS Is Genuinely Strong (and What That Means for Meridian)

## Meridian Today (representative capabilities and current gap)

These are **illustrative**, not exhaustive—they show where Meridian already carries EMS-overlapping *intent*:

* **Domain/stakeholder model**: Meridian has a stronger conceptual model for campus operations than generic schedulers. Roles and ownership map to real actors (org leaders, reviewers, admins), and policy can be embedded into event flow.
* **Policy-engine integration (strategic differentiator)**: Event governance and permissions are designed to be configurable and deeply coupled to event workflows, instead of handled as external afterthoughts.
* **Events**: Org- and user-hosted events, drafts, visibility, collaborator orgs, templates, agendas, jobs/assignments, RSVP/registration patterns, policy gates (e.g. Atlas) for creation.
* **Space awareness (currently light)**: Location fields, classroom linkage where configured, and study-session style conflict checks against room/time.
* **Engagement layer**: Tasks hub, announcements, messaging, org dashboards—usually **thin or missing in EMS**, which is scheduling-first.
* **Governance and finance (Atlas track)**: Org lifecycle, permissions, budgets/workflow—**adjacent** to EMS’s “billable booking” story but centered on **student org operations** rather than facilities revenue.

### Critical parity blocker to port from EMS

The current module implementation is incomplete as a true source of truth because events are not yet backed by a robust, shared **resource model**. This is the core parity gap:

* No canonical inventory of bookable resources (rooms, zones, equipment, service dependencies) with policy-governed constraints.
* No single conflict and allocation engine reused across all scheduling entry points.
* No durable utilization baseline that powers operations reporting without custom reconciliation.

Porting this **resource source-of-truth layer** is higher priority than adding more isolated scheduling screens.

## Capability Decisions (Outcome Parity)

### Bring Over as Meridian-Native Outcomes

#### 1) Resource-aware scheduling and conflict prevention (top priority)

**EMS outcome:** Double-booking is caught; stakeholders see one truth for “what is when and where.”

**Meridian direction:**

* First-class **bookable resources** (rooms, zones, equipment, service bundles) with optional **capacity, eligibility, setup/teardown, and blackout** rules.
* A single **allocation and conflict engine** reused by events, study sessions, and future scheduling modules.
* Optional **sync** from an external room master (EMS, 25Live, Google Resource calendars, etc.) when the tenant already has a system of record.
* Policy-aware reservations: approvals, holds, and overrides governed by the same stakeholder/policy system used in event workflows.

#### 2) Event lifecycle transparency

**EMS outcome:** Planners and facilities see changes, statuses, and history.

**Meridian direction:**

* **Audit trails and notifications** on key transitions (submitted, approved, changed, canceled).
* **Task and checklist** patterns tied to events (Meridian’s strength) instead of EMS-style ticket grids where possible.

#### 3) Registration, forms, and attendee accountability

**EMS outcome:** Controlled entry, waitlists, and data for reporting.

**Meridian direction:**

* **Configurable registration** (forms, caps, deadlines) as the default path.
* **Check-in** flows that work on mobile web; partner or phase **badge printing** if required.

#### 4) Self-service discovery and calendaring

**EMS outcome:** Community finds space and events with confidence.

**Meridian direction:**

* Strong **public and campus calendars**, **search**, and **subscription/export (ICS)**.
* Deep **Outlook/Google** parity is integration work, not a Meridian page clone.

#### 5) Reporting and “100+ reports”

**EMS outcome:** Answers for operations and finance without ad-hoc SQL.

**Meridian direction:**

* **Metric definitions** + **saved views** + **CSV/API export** + **tenant dashboards**.
* Avoid inheriting **opaque report IDs** and legacy report menus; prefer **explorable analytics** aligned with Meridian’s existing analytics stack.

#### 6) Billing and internal chargebacks

**EMS outcome:** Invoices and payment tracking tied to reservations.

**Meridian direction:**

* If needed, **integrate** with finance systems or payment providers; model **chargeback metadata** on events/bookings.
* Full AR/invoicing is a **product decision**, not a prerequisite for student-life parity.

### Often Best as Integration or Shared Service (not core duplication)

#### 7) Building systems and digital signage

**EMS outcome:** Room ready, lights/HVAC/signs aligned.

**Meridian direction:**

* **Events and bookings exposed by API**; partners or campus middleware drive AV/HVAC/signage.
* Build native controls only where Meridian has clear ongoing ownership.

#### 8) Exam scheduling and academic optimizer

**EMS outcome:** Term-scale timetables with complex constraints.

**Meridian direction:**

* **Integrate** with SIS/timetabling tools, or accept EMS/others as **authoritative** and surface **read-only truth** in Meridian where useful.

### Meridian Advantages to Preserve (not sacrificed for EMS parity)

* **Org identity, roles, and student governance** tied to events and finance.
* **Engagement**: messaging, tasks, and community surfaces around activities.
* **Multi-tenant, campus-configurable** semantics (types, policies, terminology).
* **Modern creation flows** for hosts (faster than classic EMS request wizards for many use cases).

## Vendor Patterns to Avoid Importing

* **Monolithic “one module does everything” navigation** that buries student-facing clarity.
* **Implementation-defined business rules** that can’t be reconfigured without professional services.
* **Report catalogs without explainability** (users don’t know which report answers which question).
* **Treating Meridian as a facilities billing system** unless the tenant explicitly opts into that scope.

## Suggested Phasing (outcome-aligned)

### Phase 1 — Resource source of truth (must-have)

* Build the canonical **resource model** (spaces, equipment, service dependencies, constraints).
* Build shared **allocation/conflict services** and route all scheduling writes through them.
* Enforce policy-gated reservation states (draft, hold, requested, approved, released, canceled).
* Strengthen calendar/subscription and **change notifications** around allocation state.

### Phase 2 — University operations depth

* Admin views for utilization, exception handling, and allocation quality; exports; optional external room-master sync.
* Stronger registration + check-in for high-volume campus events.
* Stakeholder-specific operational views (student life, facilities liaison, risk/compliance, approvers).

### Phase 3 — Ecosystem

* Partner integrations (signage, payments, timetabling, EMS itself as read/write peer where needed).
* Optional **chargeback** metadata and finance handoff.

### Phase 4 — Scale and refinement

* Advanced analytics, anomaly detection, and **policy templates** by campus archetype.

## Decision Framework (before building “EMS-like” features)

1. **Outcome clarity** — What decision or risk does this remove for the institution?
2. **Tenant fit** — Does every customer need it, or only enterprise facilities?
3. **Meridian composability** — Can events, forms, tasks, notifications, or analytics absorb it?
4. **Integration alternative** — Is the outcome already owned by SIS, EMS, or IWMS?
5. **UX cost** — Does it simplify life for hosts and attendees, or only for a facilities power user?

If the answer is “facilities-only, integration-ready, high UX cost,” **defer to integration** or a **thin adapter** first.

## Summary

Accruent EMS is **strong** where institutions need **enterprise scheduling, utilization reporting, and integration density**. Meridian should respect those outcomes—**single truth for time and place, governed events, accountable attendance, operational visibility**—while staying **host- and org-centric**, **policy-driven**, and **integration-friendly**. **Equality of outcome** means campuses can run disciplined programs without necessarily running **the same software shape** as EMS.
